The Challenge

Scaling a manual, expert-led review as the pipeline grew

Each week, patent searchers at this clinical-stage biotech reviewed new WIPO filings in PatentScope, working through the feed patent by patent. For a company advancing multiple molecules into development, early visibility into competitor activity is a real strategic advantage, so reviewing on or near publication day was essential. The searchers' judgment and multilingual skills kept that review accurate and thorough.

As the company grew from a Series A startup to more than 150 employees across the U.S., the manual process remained effective but hard to sustain. It offered no automated pre-filtering, no prioritization by therapeutic target, and no systematic way to surface the most relevant filings first. Furthermore, language coverage depended on the searchers' own skills. A separate manual check, confirming that the company's proprietary molecules had not appeared in published patent or non-patent literature, added further time. The team wanted a faster, more scalable approach that preserved the precision of expert review and prepared the workflow for AI-enabled prioritization, which meant finding a partner willing to understand the workflow in detail and build a system around it.

The Solution

Building a platform calibrated to how the work actually gets done

CAS Custom Services experts began by mapping the company's IP program in detail, from team strategy to individual execution: search tools and strategies, hedge terms, and methods of triage, flagging, and escalation. The goal was to encode that prioritization logic, streamlining the work and shifting effort off the reviewers.

The result is a custom software platform that ingests the weekly WIPO feed and presents it through a prioritized, target-specific interface built around the company's drug discovery programs. It was developed iteratively across three phases: Versions 0, Beta, and MVP, with the internal team shaping every stage through an Agile approach. Key capabilities include:

  • Target-based bucketing, organizing patents by therapeutic target so searchers go straight to the highest-priority areas.
  • Applicant identification, flagging filings from known entities.
  • Full-text patent viewing with highlighted terms of interest.
  • Near-real-time translation, extending coverage beyond in-house languages.
  • Custom tagging, with trend analysis tracked across an eight-week window.
  • Review status tracking and concept-based filtering.
    ‍

Before committing, the team validated the platform against what they already knew, confirming that the algorithm surfaced the same patents the searchers had found manually. Alongside it, CAS runs a quarterly check of the client's proprietary molecular structures against CAS REGISTRY® for matches in published literature, returning up to five relevant documents per hit. Because these molecules demand exceptional confidentiality, CAS works entirely within the client's own secure file transfer environment, stores no local copies, and limits access to only two named individuals at any time.

The Outcome

From manual review to embedded IP intelligence

The platform pre-populates as soon as the WIPO feed is available, so searchers now see a feed prioritized by therapeutic target rather than raw WIPO output. They review the highest-priority filings first, particularly those from known entities, and spread lower-priority items across the week, reviewing about 50% less material upfront. For leadership, the platform adds assurance, serving as a systematic second check that relevant filings are consistently captured. The quarterly registry check gives early warning if proprietary molecules appear in published literature, and translation, added in the third development cycle, extended review to regions beyond the searchers' own languages.

More than four years on, the engagement continues. CAS SciFinder®, STN IP Protection Suite™, and CAS Custom Services renewals now sit on a single annual timeline for clearer forecasting, and the platform is embedded in the company's core IP infrastructure, ready to evolve as AI-enabled prioritization comes online.
